Email Campaigns

Email Campaigns let you send personalized emails to one or many recipients — from a handful of contacts to tens of thousands. Whether you’re sending directly from a list view or building a campaign from scratch, everything runs through the same form and the same sending pipeline.
This article covers both entry points and applies to all users.

Who Can Use Email Campaigns

All users can create and send Email Campaigns. Non-admins see only their own campaigns. Admins see all campaigns sent by any team member and can filter between All Campaigns and My Campaigns.

How Emails Are Sent

Campaigns are delivered using the email transport method configured for your organization. There are two options:
  • SendGrid — campaigns are routed through your SendGrid integration. Supports up to 1,000 recipients per send. Provides the fullest set of engagement analytics including delivered, opened, clicked, bounced, and spam reports.
  • Provider (Gmail / Outlook) — campaigns are sent through your connected email account. Supports up to 200 recipients per send.
If you are unsure which transport your organization uses, check with your admin or see the Email Preferences article.
We strongly recommend SendGrid for any serious volume. See the SendGrid Integration article to get started.

Two Ways to Start a Campaign

From the Email Campaigns Page

Go to Activities > Emails > Email Campaigns and click Create Campaign. Use this when you want to plan ahead, draft and save, schedule for a future date, or build a larger campaign.

From a List View

Select one or more records in any app list view (Contacts, Leads, etc.) and click the Email button in the action bar. This opens the same campaign form pre-loaded with your selected records as recipients. This is the fastest path when you already know exactly who you want to send to.
Note: The Email button only appears in list views that have been configured for email sending in Company Settings. See the Email Preferences article for setup.

Creating a Campaign

The campaign form contains the following fields.

Name

A label for this campaign. Recipients do not see it. Choose something that tells you who it was sent to and why.

Send To

Choose which app and email field your campaign targets. Options here are configured by your admin in Company Settings > Email Preferences. Each option shows as a pill, for example “Contacts (Work Email)” or “Leads (Email).” Select the one that matches your audience.
If no options appear, ask your admin to configure apps in Company Settings > Email Preferences > Email campaign settings.
When starting from a list view, this field is pre-selected based on the app you were in.

Recipients

Choose a saved view from your servis.ai instance to define who receives the campaign. Only records in that view will receive the email. If you need to target a specific group, create a saved view for them first. See the Views article for help.
When starting from a list view with records already selected, this is pre-populated automatically.

From

Select which servis.ai user the campaign appears to come from. The dropdown shows users who have paired their email address in their profile.
If the dropdown is empty, users need to go to Profile > Preferences and click Pair Email.

Reply-To

Optional. The email address replies will go to. If left blank, replies go to the address set in the From field.

Seed List

Email addresses that will receive a copy of every send — useful for internal testing or confirmation. Type an address and press comma to add it. Multiple addresses are supported.
Note: Seed List is not compatible with Batch Sending.

Subject

The email subject line. Merge tags are supported here.

Content

Two options for composing your email body:
  • Simple Editor — a standard rich text editor. Type directly, paste content, or use the formatting toolbar. Good for straightforward text-based emails.
  • Advanced Builder — a drag-and-drop visual builder for more designed layouts. Toggle between modes using the Use Advanced Builder or Use Simple Editor link at the bottom of the content area.
In either mode you can click Import From Template to pull in content from a saved email template.

Preview Text

A short description that appears beneath the subject line in some email clients. Optional but worth filling in — it is a second chance to get the recipient to open the email.

Attachments

Files can be attached to your campaign. Note that attachments can reduce email deliverability when sending to large lists. Use links wherever possible.

Advanced Options

Batch Sending

Spreads a large campaign across multiple sends over time. Useful when your SendGrid plan has daily volume limits, or when you want to pace delivery.
Note: Not compatible with Seed List.
When enabled, three additional fields appear:
  • Number of Batches — how many groups to split your recipient list into. The system divides recipients evenly.
  • Hours Between Batches — how long to wait between each batch. The clock starts from when you click Send Now.
  • Exclude Weekends — if a scheduled batch falls on a Saturday or Sunday, it is held and sent the following Monday instead.

Multi-Language

Allows you to configure translated versions of your campaign for different audiences. Enable this option and add a language configuration for each language you want to support. Translated content appears as language-switcher buttons in the email body that open a browser tab with the translated version. This is an advanced option intended for teams with multilingual recipient lists.

Saving and Sending

At the bottom of the form:
  • Save Draft — saves the campaign without sending. You can return and edit it any time from the Email Campaigns page.
  • Send Now — sends immediately to all recipients.
  • Send Later — prompts you to pick a date and time. The campaign status changes to Scheduled and it will send automatically at the specified time.
  • Send Test — sends only to the addresses in your Seed List. Use this to preview your campaign before sending to real recipients.

Managing Campaigns

Navigate to Activities > Emails > Email Campaigns to see all your campaigns.
At the top of the page, two stat cards give you a quick summary of your campaigns and sending volume. Clicking a status pill in the Total card filters the table to that status.
Below the stats, any campaigns currently in Draft or Scheduled status appear as clickable chips for quick access. Click a chip to open and edit that campaign.
The main table shows your campaign history with the following columns: Name, Status, Sent date, and Recipients. Admins also see a Sent By column showing which team member sent each campaign. Columns are sortable.
Use the filter bar to narrow results by status, time period, or owner (admins only). The search box filters by campaign name.

Campaign Statuses

  • Draft — saved but not sent. Can still be edited.
  • Scheduled — queued to send at a future date and time. Can still be edited.
  • Processing — currently sending. Batch campaigns remain in this status until all batches have been sent.
  • Sent — fully delivered.
  • Failed — an error prevented the campaign from sending. Can be reopened and retried.

Campaign Analytics

For any Sent campaign, or a batch campaign that is still Processing, click the chart icon in the Recipients column to open the analytics report.
The report shows:
  • Sent — total emails dispatched
  • Delivered — emails confirmed as reaching the inbox
  • Opened — unique opens
  • Clicked — unique link clicks
  • Bounced — emails that failed to deliver
  • Unsubscribed — recipients who opted out via this campaign
What data is available depends on your organization’s configuration:
  • Opens and clicks are tracked via servis.ai’s own tracking pixel and link redirects. These are available with either transport, provided your email domain has been configured correctly. See the Email Domain Integration article for setup.
  • Delivered, bounced, spam reports, and dropped events are reported back from SendGrid via webhook and are only available when SendGrid is your configured transport.

Email Unsubscribes

Track unsubscribes at Activities > Emails > Email Unsubscribes. This shows a full list of everyone who has unsubscribed from your campaigns.
To capture unsubscribes directly against contact records, add two fields to your Contacts app with exactly these names:
  • Opt-out Email
  • Opt-out Email Date
The system uses these field names to identify the event and update the record automatically. See the SendGrid Integration article for setup details.
