In this article, you’ll learn how to send faxes using the GoTo integration within your Servis.ai instance. We’ll walk you through using the Faxes App, including how to attach files to your faxes and manage everything directly from Servis.ai.
Sending Faxes
To send a fax, navigate to the App you selected in the Enable Auto-Sync dropdown. Within the chosen app, locate any record containing a phone number.
Click the newly created ‘Send Fax’ button next to the number associated with that record to initiate the fax transmission.
When you click the Send Fax button the modal will open:
To
It will be the same number from where you clicked the Send Fax button.
Fax Machine
This will be the recipients and each Fax ID belong to one Fax Machine.
You can manage fax machines by adding or deleting them through the GoTo Admin Center. This allows you to customize your virtual fax settings to suit your organization’s needs.
Note: After adding a new Fax ID (Fax Machine), click the Authorize GoTo button each time to ensure proper integration.

Faxes App
To access this app go to Activities > Faxes > All Faxes.
In this article, we’ll examine the key columns of the Faxes App to understand its main features:
ID
This column lists the Record IDs for all faxes in your GoTo integration. Clicking an ID opens the Details Page for that specific record.
From & To
This two columns shows the fax number from which the fax was send or the one receiving it.
Note: In the Faxes App, the “To” number links to a specific record if the fax is sent from Servis.ai, while the “From” number is generated by your GoTo account.
Attachment
To send a fax, ensure your content is attached as a file; the fax system doesn’t support sending non-attachment content.
The files you can send are:
File Extension |
.rtf .txt .jpg .png .tiff .bmp .gif .doc .docx .ppt .pptx .xls .xslx |
When sending files, the system converts them into a single PDF document. For instance, if you send five images, the recipient will receive one PDF containing all five images.
Status
The Faxes App categorizes fax statuses as follows:
- None: No status assigned.
- Delivered: Fax successfully delivered.
- Delivery Failed: Fax could not be delivered.
- Queued: Fax is waiting to be sent.
- Received: Fax successfully received.
- Scheduled: Fax is scheduled to be sent at a later time.
- Sending Failed: An error occurred during fax transmission.
- Sent: Fax has been sent.
Source App & Source Record
This column displays the source application from which a fax was created, based on your selection in the Enable Auto-Sync dropdown. For instance, if you choose ‘Contacts’ in the dropdown, the source app will be ‘Contacts,’ and the ‘Source Record’ will show the specific record’s name from the Contacts app.
Send Date & Create
Send Date column displays the date and time a fax was sent. The ‘Created’ field indicates when the fax was initially generated.
Is Inbound
This column indicates whether a fax is inbound or not:
After authorizing GoTo, all sent faxes will automatically sync and display in the Faxes App.
Error Messages
This column displays user-friendly error messages, enabling you to easily identify and manage any issues that arise during fax transmission. These codes are generated from GoTo.
Fax ID
Each ID corresponds to a specific recipient, managed through your GoTo Admin Center.
Note: Ensure the user authorizing GoTo has the necessary permissions and full access to manage faxes for the intended recipients (Fax Machines).
