Timeline Tab – Mobile

The Timeline tab is your one-stop view for everything that has happened on a record. Whenever you open a record – whether it’s a contact, a deal, a task, or any other app – you can switch to the Timeline tab to see a chronological feed of all activities tied to that record. This includes notes, emails, phone calls, file attachments, and system-tracked events like field changes or status updates.

Think of the Timeline tab as the story of a record: it tells you who did what, and when, so you and your team always stay on the same page.

Where to Find the Timeline Tab

Follow these steps to open the Timeline tab:
  1. Navigate to any app (for example, Contacts or Deals) and tap on a record to open it.
  2. On the record screen, you will see a row of tabs just below the record’s header area. Tap the tab labeled “Timeline”.
The tab bar is horizontally scrollable, so if you have many tabs (such as Information, Timeline, related lists, and line items), simply swipe left or right to reveal the Timeline tab.

What you see in the Timeline Tab

Once you tap the Timeline tab, a scrollable list of activity cards appears. Each card represents a single activity or event linked to the record. Every card includes:
  • A colored circle icon on the left – the icon and color indicate the type of activity (for example, an envelope icon for an email, a phone icon for a call, a paperclip icon for an attachment, or a sticky-note icon for a note).
  • A header line – a short description of what happened, such as the name of the person who created a note or the subject of an email.
  • A content area – additional details that vary depending on the activity type (described below).
  • A timestamp – a relative time indicator showing when the activity took place, such as “2m” (2 minutes ago), “3h” (3 hours ago), “1d” (1 day ago), “2w” (2 weeks ago), or a specific date for older entries.

Activity Types in the Timeline

Notes

When you or a teammate adds a note to a record, it appears in the Timeline as a note card. The card shows who wrote the note and the note text. If any files were attached to the note, you will see file tags beneath the note text. Tap any file to preview it.

Emails

Email activity cards display the sender’s name (or email address), the email subject line, and a preview of the email body. Inbound emails (received by your team) and outbound emails (sent by your team) are both shown. For outbound emails, you will see the name of the team member who sent it. For inbound emails, you will see the name of the contact who sent it.

Phone Calls

Phone call cards show who the call was with, including the caller and the recipient. The card also displays useful details when available:
  • Call Outcome – The result or disposition of the call, such as “Interested” or “Left voicemail.”
  • Call Duration – How long the call lasted.
  • Talk Ratio – The percentage of the call spent talking (versus silence or listening).
  • Call Note – Any notes taken during or after the call.

Attachments

When files are uploaded to a record, the Timeline shows an attachment card. The card includes a description of what was uploaded and a set of file tags. Each file tag shows the file name and an icon matching the file type (for example, a PDF icon for .pdf files or an image icon for .png files). Tap a file tag to open a full-screen file preview.

System Activities and Other Events

The Timeline also captures system-tracked events such as field updates, record creations, stage changes, and other automated activities. These appear as generic activity cards with a header describing what changed and a timestamp. These entries are automatically generated by servis.ai whenever a record is modified, so you always have a full audit trail.

Interacting with Activity Cards

Every activity card in the Timeline is tappable. When you tap a card, servis.ai opens the full detail view for that specific activity. Depending on the type, you can:
  • Read the complete note text and view all attached files.
  • Read the full email, including the subject, body, and any tracked email details.
  • Review the full phone call log, including the recording (if available), transcription, outcome, duration, and notes.
  • Preview and download attached files.
  • See the full details of any system-tracked event.
To go back to the Timeline, tap the back arrow in the top-left corner of the screen.

Keeping Your Timeline Up to Date

Automatic Updates

The Timeline refreshes automatically in certain situations – for example, when you create a new note or add a file attachment elsewhere in the app. When you return to the Timeline tab, the new activity will already be visible.

Loading More Activities

The Timeline loads the most recent activities first. If a record has a long history, you can scroll to the bottom of the list to load older activities automatically. When more activities are being loaded, you will see a small spinning indicator at the bottom of the list. Just keep scrolling to explore the full history of the record.

Who Can See the Timeline?

All users who have access to a record can see the Timeline Tab and its activities. However, non-admin users will only see activities they created themselves. Administrators can see the full Timeline with activities from all team members. This ensures that everyone has visibility into their own work while admins maintain a complete view of all activity on a record.

Best Practices

  • Use the Timeline to quickly get up to speed on a record before a meeting or a call. You’ll see the latest notes, emails, and calls at a glance.
  • Tap on any activity card to see the full details – the preview in the Timeline is just a summary.
  • The Timeline is sorted with the newest activities at the top. Scroll down to see the older history.
  • File attachments in notes and uploads appear as tappable tags. Tap them to preview documents, images, and other files directly on your phone.

Troubleshooting

Issue
Solution
I don’t see the Timeline tab.
The tabs are horizontally scrollable. Swipe left or right on the tab bar to find it. The Timeline tab is located to the right of the Information tab.
The Timeline is empty.
This means no activities have been recorded for this record yet. As you and your team add notes, send emails, log calls, or upload files, the Timeline will populate.
I can only see my own activities.
Non-admin users see only activities they created. Contact your administrator if you need visibility into all activities on a record.
The Timeline is still showing old data.
Pull down on the list to force a refresh. This will reload the latest activities from the server.
