Stage Field

In this article:

Servis.ai is completely customizable and this includes the different Sales Stages that exist within your Sales pipeline, but not only that, since you can create your own Stage type field, you can have stages in all your Apps.

User Permissions: Only Administrators and App Admins can customize Sales Stages.

Define your Stages

Define the stages that you need for your sales funnel within your organization. This will need to be done first so that you can properly build your Choice List.

You will need to create a Choice List before creating your field.

Navigate to Choice Lists

Open the menu and go to ‘Settings > Advanced > Choice Lists‘. 

Create a new Choice List

Click on ‘Add Choice List’.

Make sure you create a new Choice List that includes all the Stages you will need for your sales process.

Now that your Choice List is created we need to create a new Stage Field’ for your application.

Navigate to Form Fields

Now that you have created your Choice List, open the menu and go to ‘Settings > Apps’. Then select your desired app and click on either the ‘Form Fields’ or ‘Form Builder’ tab. 

Note: Each App can only have one Stage Field.

Configuring a Stage Field

To set up a Stage field in your app, follow these steps:

  •  Add a New Field: Click the Add Field button to open the Field Type selection window.

  •  Select Stage Field Type: From the list of available field types, choose the Choice option.

  •  Configure the Field: After selecting the Stage field, proceed with the configuration settings as needed.

1. Name

Give your Field a name. Ensure this is something your Sales team will recognize as part of the sales process.

2. Section

Decide which section within your form you would like to add this field to. The sections are the same as for the Form Builder tab in your apps Settings.

3. Choice List

Here is where you select the Choice List you created earlier. To learn more about creating a Choice List see the following article:

To access additional configuration options, enable the “Show Advanced Settings” checkbox. This will reveal more settings for further customization.

4. Parent Choice List

A Parent Choice List is a useful feature when you need to create subcategories under a main category. This allows for a more structured selection process within a form. For example, selecting an industry can dynamically enable a corresponding subindustry selection, ensuring organized and relevant data input.

5. Default Value

If needed you can choose a default value from your choice list to populate the field. 

6. Calculated 

Checkbox fields can also be calculated. Just enable the ‘Calculated’ checkbox and add your custom code in the space available for it. If you want to learn more about it, check this article.

7. Required

Enable the ‘Required’ checkbox if the information for this field is mandatory. It means that if you enable this option, every time a team member creates a new record, they will need to input the information for this field in order to save it. 

8. Lock After Create

If you enable the ‘Lock After Create’ as its name implies, the field will be locked once the new record is saved and the value of the field will not be editable afterward. 

Once you are done setting your field, click the save button. 

Note: All new fields are added at the bottom of the form. 

Turn on ‘Show Stage Progress’

Navigate to the ‘General’ tab within your app settings. 

Check the ‘Show Stage Progress’ box if you would like to see a visual representation of your records in the detailed view.

Here’s an example of what this looks like when enabled. Here you can see the stage progress for this record within the Contacts App.

Changing a Field’s Type

In Servis.ai, once a field is created, its type (e.g., text, number, date, boolean) cannot be modified directly. This limitation helps ensure data consistency and prevents errors that could arise from incompatible data formats.

If you need to change the type of an existing field, you’ll need to follow these steps:

  •  Create a New Field: Go to the Form Fields tab on your App’s Settings and create a new field with the desired type (for example, switching from a text field to a number field).
  •  Deactivate the Old Field: Once the transition is complete, you can choose to delete the original field or simply hide it from views to avoid confusion.
